Introduction of the CHESS Future Cryptography Conference

The Cyber-security Excellence Hub in Estonia and South Moravia (CHESS) brings together leading R&I institutions in both regions to build connected innovation ecosystems that address one of the most important issues confronting Europe today: cyber-security. Within the framework of this project, Cybernetica AS (Cybernetica) will organise the Future Cryptography Conference in Brussels on 7 December 2026. Experts in their fields will give presentations on reliable cryptography: how to create it, identify it and ask for it.

This notice explains how Cybernetica processes your personal data when you visit this website and when you register for the conference.

1. Data controller

The controller of your personal data is Cybernetica AS (registry code 10140133), Mäealuse 2/1, 12618 Tallinn, Estonia. You can contact us about data protection at data-protection@cyber.ee, or reach us by phone at +372 639 7991.

2. Personal data processed

When you register for the conference, Cybernetica processes the following data: first name, surname, email address, position, organisation, country, nationality and, if you provide them, dietary restrictions.

All fields except dietary restrictions are required to register. Without them, we cannot confirm your participation or arrange your access to the venue.

Dietary restrictions are optional. They may reveal information about your health or religious beliefs, so we use them only to arrange catering and delete them after the conference.

Photographs will be taken during the conference, and you may appear in them.

3. Purpose and legal basis

We process your registration data to organise the conference: to manage registrations, communicate with you about the event, arrange catering, and provide the venue with the information it needs to grant you access. We also use it to report on the conference to the CHESS project.

This processing is based on your consent under Article 6(1)(a) of the General Data Protection Regulation (GDPR), which you give by ticking the consent box in the registration form. Participation in the conference and providing your data are voluntary.

Photographs are taken to document the conference and to communicate about the CHESS project and its results, including on project and Cybernetica websites and social media. This processing is based on Cybernetica’s legitimate interest under Article 6(1)(f) GDPR. If you do not want to be photographed, please tell the organisers at the registration desk. If you appear in a published photo and want it removed, contact data-protection@cyber.ee.

4. Recipients of personal data

Your data is processed only by Cybernetica, within the framework of the CHESS project. It is shared only as follows:

• European Commission (EUSurvey). The registration form is hosted on EUSurvey, a service run by the European Commission. Your answers are stored on the Commission’s servers in the EU. The answers themselves are controlled by Cybernetica.
  
  
• Venue. Your name, organisation and nationality may be shared with the Permanent Representation of Estonia to the EU for security purposes and to grant you access to the venue.
  
  
• Project reporting. The project report will include the number of participants and the names of their organisations, to give an overview of the conference’s size and the fields represented. Names and contact details of individual participants will not be included. The report will be submitted only to the project coordinator, Masaryk University (Czechia), and to the European Commission, for this purpose only.

Your personal data is not transferred outside the European Union or the European Economic Area, and is not used for automated decision-making or profiling.

4. Involvement of EUSurvey as a Cybernetica processor

Cybernetica will use the EUSurvey to register for the conference. The EUSurvey Terms and Conditions for the processing of personal data are available here.

5. Storage of personal data

Personal data will be deleted after the end of the CHESS project, at the latest by 31 January 2027. This includes the registration responses stored in EUSurvey. Published photographs may be kept for as long as they are used to communicate about the project.

6. Your rights

You may withdraw your consent at any time by emailing Cybernetica at data-protection@cyber.ee. Cybernetica will then stop processing your data. Processing carried out before the withdrawal remains lawful.

You also have the right to:

• know what data Cybernetica holds about you and receive a copy of it;
• request that your data be corrected, restricted or erased;
• receive your data in a structured, commonly used and machine-readable format, and have it transmitted to another controller (data portability).

If you believe your data has been processed unlawfully, you have the right to lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon), info@aki.ee, +372 627 4135, or with the data protection authority of your country of residence.

7. This website

This website does not use cookies, analytics or any other tracking technologies.

The registration form is hosted on EUSurvey, which is subject to the European Commission’s own cookie and analytics policies. For details, see the Commission’s cookie policy.

8. Security of processing

Cybernetica uses appropriate technical and organisational measures to protect personal data and ensure the security of processing.
